CITY OF READING ANSWERING SERVICE

Thank you for the opportunity to discuss Answering Services for the City of Reading, Pennsylvania with MedCom Professional Services. Even though more than half of our clients are medically oriented, we handle all kinds of commercial and professional applications as well. Because we have a medical orientation, the caliber of our staff and their training is much better than typical Answering Services. To help ensure the highest level of service, MedCom is site certified to ensure continuous operations at least 99.99% of the time. This translates into unplanned outages of less than one hour per year. We have exceeded this goal for the past several years.

How do I know that MedCom's mission is being fulfilled? At MedCom, we have invested heavily in facilities, equipment, people and training to offer some of the highest quality, yet affordable answering services in the nation. Each year we participate in the Association of Teleservices International (ATSI) Award of Excellence Program. ATSI is the industry’s largest trade association. We are randomly tested by ATSI“mystery callers” who pose as normal callers, and they evaluate every aspect of our operation. Each test call is evaluated and scored. We have received the coveted Award of Excellence for six years running, and MedCom placed third this year for the entire nation. Most Answering Services have not won this exclusive award even once.

What does this mean for me? One of the comments that we hear the most is “How good we sound.” Since our average client has us on service over 500 hours each month, we are the customer service point of contact for entire companies during these hours. At Medcom, callers can quickly reach a live agent, and our agents stay on the call until completion, without interruption. Callers get the impression that “We are the office.”  We provide the staffing and training to make Answering Service a seamless transition from your office to ours.

Do I need Disaster Recovery service? Our newest service, Disaster Recovery, provides our clients with a telephone number of last resort if their telephone system, power, back-up power or phone lines should ever fail. Using a special technique to re-route calls, during the outage all calls are forwarded and received at our Answering Service. We will take messages and explain to callers the problem and assure them that their message will be forwarded to the appropriate company representative as soon as contact can be made. Some clients can use this system as a central-point-of-contact in the event of a major disaster so that employees can “check in” and confirm their whereabouts and status. At MedCom, we can sustain ongoing operations in the event of power loss. We also have two separate telephone carriers on completely separate fiber networks to help ensure reliability.

How do I receive my messages? Our telephone network extends into key cities and metropolitan regions throughout the nation. We will provide you with a dedicated circuit so you may forward your calls to us and have access to your messages nationwide. Any time we receive your calls, our agents will automatically know it is your company. Before the call is even answered, all pertinent information already will be on the screen. Our computerized system documents every call that we receive, and we will handle each call according to your instructions. We can relay messages to you, or your on-call staff using the telephone, two-way paging, fax, or  e-mail. Our computer system also can interface with virtually any type of wireless device. Non-urgent office messages can be held for the office and included in the daily fax report of all message activity.

The bottom line. . . High quality Answering Service can only help your business succeed and help you offer excellent customer service 24/7, all at a fraction of the cost of full-time receptionists and staff. At MedCom, we add value.
